Banner HR 9x User Adoption Project

Current Status:

Correcting issues associated with the transformed HR pages will require a change request to the active Statement of Work with Ellucian. Once this process is compete, errors are able to be sent to Ellucian to be resolved.�
EAS is in the process of working with Ellucian to grant them access into UA's environment so they are able to test revised pages before sharing them with UA to test.
Campus HR departments wrapped up validation and testing of baseline HR pages, otherwise known as "vanilla" HR pages this week.� Statewide HR, however, continues to need to complete this task as they took on the most pages to test.� �
EAS deployed modifications of Job Submission to the TEST instance of Banner where they will need to verify changes before moving them to LRGP for user testing. ��
Campus Subject Matter Experts (SMEs) tasked with supporting the training work stream wrapped up their task breakdowns this week. �

Upcoming Activities:

Results of validation and testing of baseline (vanilla) general pages need to be analysed and if errors exist, compile results into a format able to be shared with Ellucian for resolution.�
SME's have until the end of the month to identify training data for the new training instance for Banner 9x, called PREP. If no additional training data is identified by the end of the month, the request to load data currently identified by SMEs will be submitted to EAS.�
Migrating modifications of Job Submission to LRGP for user testing is scheduled for the first week of June. Users will have six weeks to test in LRGP.�
EAS needs to identify how many users the LRGP and Production instance of Banner 9x must be able to support, ensuring capacity requirements are met for use with Application Navigator. This task is due next week.�
EAS is in the process of troubleshooting issues associated with Workflow to test whether Workflow is able to invoke 9x pages in Test, LRGP and Production. This task is due next week.�

Risks / Issues / Concerns:�

Testing baseline HR pages is behind schedule. Once the team knows when this task will be able to be completed, impacts will be analyzed to determine impacts to the project schedule.�

6/2/17 Banner HR 9x User Adoption Update

Current Status

Ellucian has working credentials needed to access UA's environment for development purposes. This task will no longer be reported on.�
OIT-TS installed Oracle WebLogic underpinnings for a second instance of LRGP Application Navigator and �a second instance of the PROD Application Navigator. The goal was that �the two instances of the LRGP Application Navigator could load-balance Banner 9x�for LRGP, and the two instances of the PROD Application Navigator are able to load-balance Banner 9x for PROD. OIT-EAS has remaining tasks to complete in order to achieve the desired end state.�
OIT-EAS reported LRGP and PROD need to be able to support 250 HR users for the initial 9x adoption. This number will grow as each functional area transitions to Banner 9 but the work TS and EAS are completing (described above) will be able to support all of UAs Banner users.�

Upcoming Activities:

OIT begins regular, weekly meetings with Ellucian next week to complete transformation of five custom General pages. Work will also be initiated to resolve issues identified during testing of the 16 custom HR pages.
State Wide HR is scheduled to complete testing of HR "vanilla" or baseline pages by 6/9/17. Two issues were identified during campus testing of vanilla pages. SWHR will submit all issues directly to Ellucian and work with them, ongoing, through to resolution. There was no impact to the project schedule as a result of this delay.�
EAS will migrate modifications for Job Submission to LRGP on 6/9/17 to allow users six weeks to conduct cross functional testing before before these modifications can be migrated to PROD.�
OIT Training and Engagement will submit the request to EAS to load HR identified data to the new instance of PREP on 6/8/17.�

Risks / Issues / Concerns:

Concern- Issues with Workflow have been identified and OIT-EAS and OIT-TS are working together on this. Due to user involvement in testing once issues are resolved, prioritization of this issue was elevated through OIT-TS this week.�
Risk- Leading up to this week, HR users were unable to use the same browser to perform duties in both Banner 8 and 9x, creating complications for adoption. A user who performs cross functional duties would be unable to go seamlessly from 8 to 9 without experiencing slowness in 9x. This week, Ellucian released information about a browser that will work with both Banner 8 and 9x but performance improvements are yet to be documented. More to come on how this risk will affect the roll-out of Banner 9x.�

6/16/17 Banner HR 9x User Adoption Update

Current Status:

Workflow has now been configured properly in LRGP by OIT-Technical Services. The team is awaiting confirmation from OIT- Enterprise Application Service (EAS) that everything is working correctly before Human Resource (HR) users are able to conduct workflow testing.
Three of the five custom general pages HR identified for 9x adoption requires cross functional testing. The level of testing required on the part of other functional areas and the scehdule for this testing is in the process of being confirmed. �
System Wide Human Resources (SWHR) is finished testing their portion of baseline HR pages. All testing of baseline HR pages is now complete.�
Campus HR Payroll and Personnel Assistants along with Cost Center Clerks, able to adopt Banner 9x with HR departments, have been identified and will be involved in the project once training is scheduled for 9x. �
Beginning regular meetings with Ellucian to work towards the transformation of additional 9x pages was delayed by Ellucian for one week.

Upcoming Activities:

HR will conduct timed testing to document the speed of data entry into Banner 9x. This is to better understand the impact 9x will have on data entry in HR departments across the UA system. Should results show 9x will take HR longer to conduct data entry, results of these tests and associated questions will be posted on eCommunities to see if other schools had a similar experience. Associated tickets will also be submitted to Ellucian soliciting their guidance. Tests, posts to eCommunities and tickets submitted to Ellucian are to be completed by 6/26/17.
EAS needs to� install & finalize the configuration of Application Navigator and Banner HR on the second instance of LRGP and the second instance of PROD in order to support capacity as users transition to Banner 9x. EAS is to provide an estimate for completion of this activity by 6/19/17.
Next week, System Wide HR is on track to submit tickets to Ellucian about errors identified during testing of baseline HR pages.�

Risks / Issues / Concerns:�

Issue-�The initial transformation of the five custom general pages is behind scehdule, delaying completion of all dependent activities. The team is currently unable to scehdule dependent activities until Ellucian provides a date for delivering the five 9x general pages. Regular meetings with Ellucian are now scheduled to occur weekly, beginning 6/16/17.�
- Dependent tasks the team is unable to scehdule at this time are: EAS applying these pages to LRGP, conduct HR and cross functional testing, results gathered and submitted to Ellucian, Ellucian resolves identified errors and supplies UA with fixes, EAS applies fixes to LRGP, HR and cross functional areas validate that errors are resolved and provide sign off that no further work needs to be conducted.
Risk-�Submitting HR training data to EAS is behind scehdule. This data needs to�be loaded to PREP, the new training instance for Banner, in order for HR end user training to occur. This request is now scheduled for completion the end of June, 2017.�
- No impacts to the overall training scehdule have been identified, at this time. However, should this task be delayed further, impacts to the training scehdule may impact the end date for the overall project as adoption is dependent on training end users.�
Concern-�EAS is behind schedule migrating modifications to Job Submission into LRGP. Portions of Job Submission (such as rolls) are not making it to LRGP during the migration. The majority of problems currently being experienced should have been part of Banner 8 but were never implemented. EAS is�scheduled to provide a date for completion on 6/26/17.
- Once this migration is complete, cross functional testing will need to occur for 6 weeks. No negative impacts to the project end date are anticipated at this time as a result of this delay, but the potential exists. This activity will continue to be monitored until EAS is able to provide an end date for completion.

6/30/17 Banner HR 9x User Adoption Update

Current Status:

Workflow is now configured correctly in LRGP so HR departments are able to test. Due to Fiscal Year end activities, the date for testing will be delayed.�
Submitting the results of testing baseline HR pages to Ellucian is behind schedule as a result of resource constraints due to end of fiscal year activities.

Upcoming Activities:�

The General Functional Council (GFC) will schedule cross functional testing of the following local general pages�at their meeting on 7/7/17: g oa2gea.fmb, goaintl.fmb, goamtch.fmb.
SWHR to identify Quickflows that are HR specific and must be updated to reflect the current processing flow. Once they have been updated, HR will run each Quickflow in LRGP for testing. If they function as expected, no further testing is required.

Risks / Issues / Concerns:

Risk- M igrating modifications of Job Submission to LRGP is behind schedule and OIT-�EAS was unable to make a determination this week about when this task will be complete. The changes to Job Submission must happen to Banner 8 as well as 9x, which means it impacts all Banner users. All functional areas will need to test new modifications to Job Submission, meaning, this task has the possibility of delaying the end date of the HR project. Progress was made this week by OIT-IAM. A new role was created so that in the future, all Banner users are able to have access to the new version of Job Submission. That access, however, has not been granted for PREP and LRGP for testing.
Issue- The task of Ellucian transforming four local general pages is behind schedule. The test plan and schedule was shared with Ellucian but UA has yet to be provided a date for delivery of the transformed pages.
Concern- HR departments are in the process of completing timed tests to determine if 9x takes longer to perform data entry. If the results prove that 9x requires more time for HR departments to complete data entry tasks, two follow-up activities will occur. The results of these timed tests will be posted on eCommunities to solicit feedback from other universities and SWHR will submit a ticket to Ellucian requesting their support in resolving this issue. �
Concern-� EAS needs to install and finalize the configuration of Application Navigator and the Human Resource module on the second instances of LRGP and PROD. Currently, EAS is unsure as to w hen this task needs to be completed in the overall program. No clarification is available at this time about whether this task must be part of the HR project in order for HR departments to adopt Banner 9x or whether this task is able to happen at a later time in the overall 9x Program program.
Concern- Quickflow is required for HR to adopt 9x. Currently, OIT-EAS is researching whether or not�Quickflow presents pages in Banner 8 or 9x, but it will not present pages in both. If Quickflow only presents 9x pages, EAS needs to determine whether they have the ability to disable access to Quickflow pages in 9x for non-HR users. Until we know whether access is able to be removed for the other functional area users, Quickflow must be cited as a concern.
Concern- Loading training data to the new instance of PREP is behind schedule. OIT Training & Engagement provided OIT-EAS a sample data set and is currently waiting confirmation that the sample contains all required details. If data isn't loaded to PREP by 8/4/17, there may not be enough time to OIT-T&E to create training materials and conduct training during the�scheduled time frame. This may delay the end date for the HR project.

7/14/17 Banner HR 9x User Adoption Update

Current Status:

Workflow is now configured correctly in LRGP so HR departments are able to test. Due to Fiscal Year end activities, test plans have not been developed.

HR specific Quickflows continue to need to be updated and tested.�Due to the fact that Quickflow names are not always self explanatory, SWHR needs to solicit Quckflows from each campus, prior to being able to update. This topic will be addressed at next week's A-team meeting.

7/28/17 Banner HR 9x User Adoption Update

Risks / Issues / Concerns:

Risk- Migrating modifications of Job Submission to LRGP continues to be behind schedule.�Six weeks of cross functional testing, at a minimum, is required once modifications�have been moved to LRGP. Until EAS provides a date for completing this migration, the impact to HR's project schedule is unknown.�
Risk-��The new training instance, PREP, requires Workflow, SSO Manager and Administrative Banner. EAS is unsure of the schedule to complete these activities so it is an unknown whether this will have a negative impact to the HR project schedule.
Risk- Banner Quickflows are used cross functionally.�I n order for HR to use 9x pages in PROD, 9x pages must �be set as Quickflow’s default, meaning any department across UA� initiating �a Quickflow uses 9x pages.�The GFC will solicit Quickflow usage at next month's meeting to better understand the impact to the HR project's timeline.
Concern- Submitting the results from testing baseline HR pages to Ellucian is behind schedule as a result of resource constraints due to end of fiscal year activities.� Until �tickets have been submitted and UA receives direction from Ellucian about how they will address the errors, the impact to HR's project schedule is unknown.�

Current Status:

Campus HR departments will now be able to submit tickets directly to Ellucian. This allows HR to conduct timed trials of HR 9x efficiency and submit suggestions directly to Ellucian.�

Upcoming Activities:

HR is available for validation of their 16 local HR pages for two weeks (9/25/17 - 10/6/17).�Ellucian estimates that they will have errors�resolved for the 16 HR local pages by 8/21. Ellucian has been made aware of the time frame that HR is available�for validation. �
Workflow is scheduled to be tested�from 10/9/17 - 10/20/17, after� Ellucian provides fixes to the 16 custom HR pages.�
Testing of four local general cross functional pages was scheduled by the GFC from 9/25/17 to 11/1/17.�Applicable Student, Finance and Financial Aid test plans will be developed for these pages by 8/4/17. This schedule was conveyed to Ellucian so these pages can be transformed.�
EAS determined that they will install and finalize the configuration of�Application Navigator and Administrative Banner �on the second instances of LRGP and PROD by the end of this calendar year. More to be reported on this at a later time as a specific date is selected by EAS.�
EAS intends to transform validation tables, in-house, for the transition to 9x. An estimate for completing the transformation for the first table will be provided at the next EAS Leads meeting. �

Current Status:

EAS resolved the recent issues they were experiencing deploying 9x pages to LRGP. However, the deployment of 9x pages using the required tool, Ellucian Solution Manager, continues to be an unrepeatable process.�
Quickflows were determined to no longer be a risk to the project this week. There is no expected impact to Banner 8 users as a result of a Quickflow referencing a custom 9x page. For this reason, Quickflows will be included in the final stages of each project plan to minimize the potential for any impact.�
Modifications to Job Submission were successfully migrated to LRGP. Job Submission was determined to no longer be a risk to the project.�
Ellucian provided fixes for two of HR's custom pages, NEA2SPE & NEA2SPR. SWHR reports that both pages are working as expected, however campus HR departments need to validate.��
Calculating training impacts to the HR project scehdule results in HR being unable to adopt Banner 9x by the end of calendar year 2017. Impacts will continue to be calculated to see if this time can be made up in the coming months.�

Upcoming Activities:

Deploying vendor provided fixes to custom HR pages will require a second outage, aside from the September upgrade outage already scheduled for LRGP. For this reason, the scehdule for validating HR's custom pages will be pushed back by one week. The second outage is scheduled for 9/29/17, after which time SWHR will conduct preliminary testing before rolling out the test plan to campus HR departments on 10/4/17. Testing is expected to be complete by 10/13/17 and� include Workflow and Quickflow validation.�
UA is unable to test Job Submission until Ellucian provides four transformed custom General pages and then EAS schedules an outage to load them to LRGP. The scehdule for cross functional testing of Job Submission is expected to be available in the next two weeks.�

Current Status:

One of the custom General pages Ellucian delivered does not function correctly. Ellucian will need to provide a new file for this page in order to test it.
Initial feedback on the transformed custom General pages have been positive with minimal issues reported. The General module is used cross functionally. Some of the other project teams have approved the use of the General pages, however, HR is going to provide the final approval for the UA system.
The HR project team is validating their remaining custom HR page while testing the custom General pages.
The configuration of UA's new training instance, PREP, has a new deadline of 4/27/18. Application Navigator was successfully� deployed �to PREP allowing the deployment of� the eight �required Banner Administrative applications. Remaining work consist�of�database upgrades, applying two API upgrades, 14 self service application upgrades,� ensuring SSO works for Banner 9 in PREP, �and some clean-up tasks. At this time, the deadline of 4/27/18 remains achievable.� �
In order for HR departments to leverage PREP for training, HR training data must be loaded. A prerequisite to loading HR training data is to run scripts that maintain HR business rules within PREP. The HR team completed their review of existing scripts and identified the missing scripts that EAS needs to develop and run.

Upcoming Activities:

Except for the one custom General page that did not function correctly upon delivery, the deadline for testing custom General pages and having error results compiled is 4/19/18.
UA is waiting on Ellucian to provide a date for delivering the revised custom General page. The user testing period will be calculated based on the delivery date.�
Once required scripts for PREP are run, EAS will need to load HR's training data.��

Risk-�The configuration of UA's new training instance, PREP, has a new deadline of 4/27/18. Due to the fact that this work package has been delayed multiple times, it must be called out as a risk.

4/23/18 Banner HR 9x User Adoption Update

Current Status:

Three of HR's custom General pages were approved.�
The two remaining custom pages that HR requires to adopt Banner 9 failed testing. Results were submitted to Ellucian to address. This is the third time that the HR team received pages from Ellucian that failed testing.�
In order for HR departments to leverage the new Banner 9 training instance, HR training data must be loaded. A prerequisite to loading HR training data is to run scripts that maintain HR business rules within the new training instance. Application Services is in the process of developing the missing scripts and target running these scripts the end of May.�

UA is waiting on Ellucian to provide a date for delivering the revised custom General page.�

Issue-��Banner 9 end users report slow performance times in UA's testing environment. This will negatively impact UA's ability to leverage Banner 9 operationally once the upgrade is complete. Application Services will begin an effort to improve performance in UA's testing and production environments.�
Issue- LRGP must be up and available at all times outside of the scheduled�monthly maintenance window or development work by Ellucian for the remaining custom Student and General pages will be delayed.��

5/4/18 Banner HR 9x User Adoption Update

Current Status:

Ellucian delivered the last custom General page HR requires to adopt Banner 9. Application Services deployed it for user testing on 4/27/18.�The deadline for testing this page is 5/31/18.�
UA is waiting for Ellucian to deliver fixes for the two custom HR pages that failed user testing. These are the last two custom pages that HR requires to adopt Banner 9.�
Application Services is in the process of developing requirements definitions needed to create the missing scripts in PREP�to maintain HR business rules in UA's new training instance.�This activity must be complete before Application Services can program the missing scripts. Once the requirements definitions are complete, a new estimate for completion will be provided for developing and running the scripts.�
Database upgrades to UA's new training instance, PREP, were successful.�

Current Status

Ellucian was unable to commit to providing UA's remaining custom pages by 9/17/18. The 9/17/18 deadline provides UA with enough time to test the last of the transformed pages prior to migrating them to production the weekend of 9/28/18. This constraint likely prohibits FinAid, Student and HR's ability to have access to Banner 9 production one month prior to adoption.��
Ellucian changed the Project Manager they have placed on UA's transformation activities for the fourth time.� �
Ellucian was unable to provide a release today, as originally scheduled, which was to include GOAMTCH. UA is waiting on Ellucian to provide a new delivery date for this and other pages. This has been escalated to Ellucian leadership.� �
The Student & FinAid teams recently identified issues with a previously approved custom General page, GJAPCTL. It is currently unknown what the impact of this discovery will be to the HR project schedule.� ��
The HR team was unable to provide a go / no-go decision around Banner 9 performance by the time this website was updated. However, they intend to provide clarification around this in the near future to share with the�General Functional Committee (GFC). The GFC is responsible for cross functional issues affecting Banner and they are scheduled to send recommendations to the Information Technology Council (ITC) surrounding adoption of Banner 9, next week.�
The HR team conducted functional speed testing of Banner 9. Results are being reviewed.�
The HR team identified issues when testing their Quickflows. Results were shared with EAS and are currently under analysis. It is unknown whether Ellucian will be required to resolve these issues.��

Upcoming Activities:

The HR team is waiting on Ellucian to provide a delivery date for fixes to remaining custom General pages.
The GFC needs to send the ITC recommendations for adopting Banner 9.�

Risks/Issues/Concerns:

Issue-�Ellucian was unable to commit to providing UA's remaining custom pages by 9/17/18. The 9/17/18 deadline provides UA with enough time to test the last of the transformed pages prior to migrating them to production the weekend of�9/28/18.�This impacts go-live because UA may need to continue using Banner 8 on 10/29/18 for some business processes.
Issue- The FinAid team recently identified issues with letter generation processing on a previously transformed and approved page, GJAPCTL. It is currently unknown what the impact of this discovery will be to the project schedule.� �

Current Status

UA is moving forward with a soft roll-out of Banner 9 on 10/29/18. There is a high probability that some of UA's custom pages will not be present in Banner 9 by this date. Therefore, Banner 8 and Banner 9 will both be available for use, simultaneously. The soft roll-out approach allows the HR team the time they need to test Banner 9 in production before Banner 8 is retired.� ��
Ellucian provided UA with instructions for resolving deployment issues for baseline pages�with Ellucian provided extensions and Clean Address extensions. Preliminary testing is underway.�
Ellucian provided a new version of GOAMTCH but this page also has Clean Address extensions. The team will not be requested to test it until it is confirmed that technical issues with Clean Address functionality are resolved.�
Clean Address functionality for baseline pages and local pages were approved.��
The HR team shared the final version of their functional speed testing report. The document has been shared with other project teams and will be shared with Ellucian.
The HR team intends to open up tickets directly with Ellucian to resolve the issues they are experiencing with two of their Quickflows. Both are now considered out of scope for this project because HR is able to adopt Banner 9, initially, without them.�
OIT and Ellucian are working together on a weekly basis to identify the necessary improvements�required to improve the technical performance of Banner 9.

Upcoming Activities:

The GFC and Public Relations are putting together a system-wide training flyer with details about face-to-face and remote training sessions. The flyer will be ran in the SW Voice, Green & Gold and shared with the UAS Service Desk for distribution.� ��
Ellucian needs to provide UA with a date for releasing the remaining General and Student pages the HR teams relies on for operational activities.�
